Refund & Cancellation Policy

Scope of This Policy

At AIMN Projects Pvt. Ltd.⁠ , we are committed to providing professional, timely, and quality services to our clients. This Refund & Cancellation Policy outlines the terms governing cancellation of orders, work assignments, and refund eligibility.

Service Nature

AIMN Projects Pvt. Ltd. primarily provides professional consultancy, survey, GIS, drone, LiDAR, GPR, land acquisition, statutory approval, engineering, and project management services. Since our services involve deployment of technical resources, manpower, equipment, software, field investigations, data collection, and professional expertise, refunds are subject to the conditions stated below.

Cancellation by Client

Before Commencement of Work

If a client wishes to cancel a work order, purchase order, proposal acceptance, or service agreement before commencement of work:
* Cancellation request must be submitted in writing via email.
* Any advance payment received may be refunded after deduction of:
* Applicable taxes;
* Banking/payment gateway charges;
* Documentation and administrative expenses already incurred.

After Commencement of Work
If cancellation is requested after work has commenced:

* No refund shall be applicable for completed work, partially completed work, field visits, surveys, mobilization, data collection, analysis, report preparation, statutory applications, liaison activities, or any other services already performed.
* The client shall be liable to pay for all work completed up to the cancellation date.
* Any balance amount due shall remain payable by the client.

Cancellation by Company

AIMN Projects Pvt. Ltd. reserves the right to cancel or suspend services under the following circumstances:
* Non-payment or delayed payment by the client;
* Submission of incorrect, misleading, or incomplete information;
* Force majeure events;
* Regulatory, legal, or government restrictions;
* Situations beyond reasonable control of the Company.
In such cases, refunds, if any, shall be evaluated based on the extent of work completed and expenses incurred.

Refund Eligibility

Refunds may be considered only under the following circumstances:
* Duplicate payment made by the client;
* Excess payment received due to technical or billing error;
* Service could not be initiated solely due to reasons attributable to the Company.
Approved refunds shall be processed after verification and management approval.

Non-Refundable Items

The following shall generally be non-refundable:
* Professional consultancy fees;
* Survey and investigation charges;
* Site visit expenses;
* Mobilization and demobilization costs;
* Government fees, application fees, statutory charges, and third-party payments;
* Drone, GIS, LiDAR, GPR, mapping, engineering, design, drafting, and data processing services already performed;
* Customized reports, drawings, documentation, and deliverables;
* Any completed or partially completed work.

Refund Processing

Where a refund is approved:
* Refund shall be processed through the original mode of payment wherever feasible.
* Processing may take 7 to 30 working days, subject to banking and payment gateway procedures.
* Applicable deductions, taxes, transaction charges, and expenses may be adjusted before refund processing.

No Guarantee of Regulatory Approvals

The Company provides professional assistance and consultancy services. Grant of approvals, permissions, licenses, NOCs, clearances, or government sanctions depends upon the concerned authorities and cannot be guaranteed.
Fees paid for professional services rendered shall not be refundable merely because an approval, permission, or clearance is delayed, rejected, withheld, or modified by any authority.

Force Majeure

The Company shall not be liable for refund, delay, interruption, or non-performance caused by events beyond its reasonable control, including but not limited to natural disasters, government actions, regulatory changes, strikes, pandemics, war, civil disturbances, network failures, or equipment breakdowns.

5. Disputes

Any dispute regarding refunds will be resolved per the dispute resolution clause of the signed project agreement, or failing that, under the jurisdiction of courts in Vadodara, Gujarat.
